Everywhen partners with Apogee to enhance workplace flexibility

Everywhen, one of the world’s leading independent insurance brokers, has teamed up with Apogee Corporation, a provider specialising in managed workplace services, to optimise its workplace operations and bolster business continuity across the UK.

The partnership aims to support Everywhen’s shift to hybrid working and digitalisation goals by delivering a modern, agile workplace infrastructure that improves service for colleagues while reducing operational costs.

To facilitate this transformation, Everywhen sought to replace its high-cost, asset-heavy print infrastructure with a more flexible and efficient model. Apogee responded with a fully managed print service under a flexible leasing arrangement, complemented by the deployment of OneSource — an outsourced document management solution allowing colleagues to securely send documents for printing and mailing remotely. Incoming mail was also diverted and digitised, ensuring seamless access to critical documents from any location, thus maintaining operational continuity.

This approach significantly lowered expenditure on equipment, paper, and stationery, while also enhancing the organisation’s operational resilience. It freed staff from manual, time-consuming processes, enabling them to focus more effectively on client service whether working remotely or from the office.

“We hadn’t devised an effective business continuity plan for remote and hybrid working, but Apogee helped us rethink how our business communicates and operates, removing the need for physical equipment access while ensuring continuity across our UK operations. Apogee is a safe pair of hands that we have come to fully rely on. We’ve already made huge strides in reducing our overheads, and moving forward, we see Apogee as a key part of our digitalisation journey,” said Donna Nuth, Head of Supplier Relationship Management at Everywhen.

Building on these successes, Everywhen is working with Apogee to modernise its hardware estate, deploying over 1,300 laptops to support flexible working arrangements, with around 200 additional devices introduced each month. This leasing approach not only provides access to the latest technology but also alleviates concerns over equipment obsolescence and disposal.

The partnership is further expanding through the implementation of AutoMail, an automated document handling solution designed to enhance data security, minimise manual intervention, and deliver an anticipated 19% annual cost savings for the insurance broker.
